Upload a receipt
Receipts attach to a specific activity or transport. Each one carries a real amount, currency, and paid date in addition to the file.
- 1On the Plan tab, click the ๐ icon on the right side of any activity / transport row.
- 2In the floating Receipts panel, enter the Amount you actually paid.
- 3Pick the Currency. Defaults to the row's own currency; override if you paid in a different one (e.g. cash in JPY).
- 4Set the Paid on date. Defaults to today โ leave as-is for receipts you're uploading after a recent payment.
- 5Choose Visibility: Only me (private) or Group (visible to every trip member).
- 6Click "+ Upload receipt" and pick the file (PDF, JPG, PNG, HEIC, WEBP, max 10 MB).
Good to know
- The activity's displayed cost flips from the estimate to the real paid amount the instant the receipt saves โ no refresh needed.
- Defaults for currency and visibility stick between uploads, so batch-uploading multiple personal receipts is fast.
Log a payment without a file
For cash purchases or receipts you don't have / don't want to attach, log just the money fields. The row still feeds the budget.
- 1Open the Receipts panel on any row.
- 2Fill in Amount, Currency, and Paid on (same as a normal upload).
- 3Click "๐ต Log payment only (no file)".
Good to know
- File-less rows show with a ๐ต icon and read "Payment logged (no file)" instead of a clickable file name.
Manage receipt visibility
On a shared trip, each receipt is either private (only the uploader can see it) or public (every trip member can see it). New uploads default to private to prevent accidental sharing of personal bills.
- 1In the Receipts panel, click the Private / Public pill next to any receipt you uploaded to flip it.
- 2To flip every receipt YOU uploaded on this activity at once, use the "๐ Share all my receipts" / "๐ Make all mine private" bulk button at the top of the panel.
- 3To flip across the WHOLE trip, use the trip-wide "Share all my receipts (N)" pill at the top of the Plan view.
Good to know
- You cannot change another member's receipt visibility โ only the uploader can.
- Owners and editors can delete other members' receipts (and their own); viewers can only delete their own.
Split a receipt with the group
Splits let you record who actually owes whom for a shared expense. They're opt-in per receipt โ no expense is split unless you explicitly choose to.
- 1Open the Receipts panel on the activity / transport whose receipt you want to split.
- 2On the receipt row, click the ๐ Split button.
- 3Pick a method: Just me (default, no split), Equal (divide the amount evenly between selected members), or Exact (enter a specific amount per person).
- 4For Equal: check the members who share this cost. Their per-head amount appears below the list.
- 5For Exact: enter an amount for each member. The form blocks save if the sum doesn't match the receipt total (ยฑ1 cent for rounding).
- 6Click Save split. If the receipt was private, you'll be asked to confirm before it becomes visible to the group.
Good to know
- Splits are stored in the receipt's native currency. The Split balance tab converts to the trip currency for display.
- Editing the receipt amount un-settles every share so debtors can review the new allocation.
- You can split a payment-only "no-file" receipt the same way as a normal one.
Read the Split balance tab
The Split balance tab shows what you owe and what you're owed on this trip. Splits between two other members are hidden โ you only see balances that involve you.
- 1Open the Split balance tab.
- 2Two summary cards at the top: "They owe you" and "You owe", both in the trip currency.
- 3"Net by person" collapses every unsettled share into one line per other member.
- 4"Every share" lists each unpaid (and recently-settled) share with the source activity name.
- 5When you settle a debt outside the app (cash, Venmo, etc.), click "Mark paid" on the share โ the row fades and updates the totals.
Good to know
- Either side can mark a share as paid. The debtor flipping "paid" doesn't require creditor approval.
- Each share row shows the trip-currency amount in bold and the native amount in small grey text underneath.
Read the Budget tab
The Budget tab aggregates every estimated cost (from activities/transports) and every real paid amount (from receipts) into the trip's currency.
- 1Open the Budget tab from the trip nav.
- 2Read the top summary cards: Estimated spend, Budget cap, Remaining (or Over budget by).
- 3"Spending to date" sums every uploaded receipt, converted to trip currency at daily ECB rates. Bars compare it against Estimated and Budget cap.
- 4"Spending over time" shows a cumulative line chart with auto-zoom โ drag-aware Y-axis bracket so small spends are visible against large estimates.
- 5Spending by category cards show estimated + spent for each category. Click a category to filter the expense list below.
- 6Use Day pills to scope the cards + list to a specific day.
Good to know
- A row's native-currency amount shows in small grey text under the trip-currency total โ so you can always see what you actually paid in the original currency.
